Confidentiality GuidelinesThe voting process is completely confidential. Only registered members are allowed to vote, and no person is able to vote more than once.Every person on the voting roll must have an e-mail address, and in the e-mail sent to them inviting them to vote, a password will be given. Only staff able to quote the e-mail address and password will be able to vote. Voting is done by completing a form in a web browser. The completed form is sent to a remote site for processing. Information about the voter (e-mail address and password) will be checked against the records of people allowed to vote, which are held quite separately from the answers to the voting questions, and in a different order. It is not possible even for the systems staff administering the vote to know how any person voted. The list of e-mail addresses will be held only for the duration of the vote and will then be discarded, unless required by law to be held for a longer period. In the case of Protected Action Ballots in Australia, the voting roll and results will be held securely for twelve months. It will not be possible for anyone outside of our organization and the web-hosting service that we use to access the e-mail addresses.
Ensuring one response per personThe survey is being conducted electronically with a master roll in one file, containing e-mail addresses and passwords. When a response is received, the e-mail address and password are checked against this master roll, and removed from it to prevent repeated replies from the one person. The voting details will be stored in a separate file. The order of information in this file is not related in any way to the order of e-mail addresses in the master roll. There is no physical way that a voting response can be associated with the person who sent the response. |
